Since I will be out tomorrow for a dentist appointment, I figured this would be a good time to post about my sub binder. If there is one organizational thing that I'm proud of, it's my sub binder. Let's face it - subs have a tough enough time as it is without going into a classroom where they don't know the daily procedures and expectations. So I try to make it as easy and painless as possible for my guest teachers.
 |
| I keep my sub binder on the chalkboard near my desk so it's visible in case of an emergency. My kids also know where it is. When I know I'm prepping my room for a sub, I put it on my desk. |
 |
| I recently made my binder nice and colorful. |
 |
| My intro is just a welcome with basic information such as which teachers can help with lessons, and which students are helpful. After that starts my daily procedures. |
|
 |
| My Daily Procedures section is several pages long. I want to make sure that the information is there in case they need it. But I think with the font size, spacing, and sub-headings, it's not too overwhelming. |
 |
| My Classroom Management page explain my attention signal, rewards, and consequences. I also have a quick run-down of the daily schedule. |
 |
| Emergency procedures for fire drills, etc. |
 |
| I include a list of which students are pulled on each day (for academic support, speech, etc), as well as a map of the school. On the map I highlighted important room, and drew arrows showing how to get inside the building from our portables. |
 |
| In rare circumstances, I may be so sick I am unable to get to my classroom to prepare for a sub. Though it is unlikely to happen, and I haven't ever had to use it, I have emergency plans laid out just in case. |
 |
| At the back of the binder I have time fillers such as word searches just in case my class finishes their work early. |
I also have a
form that I leave for the subs where they can leave notes for me and tell me about their day.
This is a link to get to my sub binder word document. It's on TPT, but it's free. As with the sub plan template, I took out some identifying information for privacy's sake, which is marked in red.
Yup, I'm proud. :)

ReplyDeleteI have been working on a Sub Binder this summer! This is great!! It reminded me of some things I forgot to include!! Thank you so much for sharing all of this!! You should be proud! I bet subs appreciate subbing in your room!
ReplyDeleteAs I am a school nurse I would like to remind you to include any medical issues of any students and have it in a prominent place in the binder. Thanks
ReplyDeleteWow... good piece to add... I have three students with medical/allergy issues and I need to make sure a sub knows about them! Thanks for the heads up!!
DeleteBut don't forget about privacy issues. There are somethings in our state that we can't tell a sub.
Deletelove this idea. if there are health issues, the substitute MUST know about them, trust me...been there, done that! I'm a sub, so not knowing things like that is REALLY hard.
DeleteI would agree. I know privacy is important but at the same time a substitute really does need to know about health issues in the classroom. I am a sub and whenever I don't have a list of issues I am very concerned and tend to send kids to the health office a little more often.
DeleteThanks so much for this! I am a first year EC teacher for middle school and I am thankful that you shared this. It is going to help me greatly as I prepare to organize my classroom. Please follow my blog at middleschoolteacherdiary.blogspot.com
ReplyDeleteThis is awesome! Thank you for sharing.
ReplyDeleteA-ma-zing! Thank you for sharing! I am in desperate need of a sub binder, this will definitely get me started and then some! :)
ReplyDeleteWhat a generous share! Thank you for your hard work and willingness to help others get organized!! :)
ReplyDeleteThanks for sharing!! I am starting to work on all my classroom stuff for next year and creating a Sub Binder/Sub Tub is on the top of my list!!! Thanks for some more ideas!!!
ReplyDeleteGreat idea! Thanks for sharing! I can't wait to get started on my sub binder!
ReplyDeleteThank you sooooo much for sharing. I've been working on mine this summer ,too.
ReplyDeleteFantastic binder!! I have been subbing for the past 2 years - some teachers leave great instructions, some are horrible. I must say, it's very tempting to have business cards made up with just the web address to this page and leave them on teachers' desks as I go around to my 3 school districts!! :o)
ReplyDeleteI have a sub binder on my desk at school. I believe it is the greatest thing you can do for a substitute teacher
ReplyDeleteAs a sub, I thank you on behalf of the subs who work in your classroom. This is phenomenal! I wish all teachers did this!
DeleteSince I am a sub, I can really appreciate this. I wish all teachers did this.
DeleteI am a retired 6th grade teacher. I had 6 different classes during the day. I made a seating chart on laminated poster board (about 8"X 10".for each class.I used a grease pen that could be erased. I then could change student seating around if needed. I also starred names of students who were potential problems, and reliable students who could be trusted to take notes, etc. to the office or whereever. I put a star (*) by those students' name. I kept the charts clipped together with a binder ring and placed it where only the sub could get at it.
DeleteThanks for sharing...I am a sub.
DeleteThis is wonderful! Thank you for taking the time to be so thorough. Having been a substitute teacher prior to becoming a full-time teacher, I totally understand the need for specifics, i.e., procedures, emergency plans, etc., You really thought this through and it shows. Thank you!!!
DeleteThank you so so much! This has really cut down what I need to do to prepare my own sub notebook. Thank you for being so generous!
ReplyDeleteThis is great, I do something similar but it's not this detailed, so this gives me more ideas.
ReplyDeleteI have maternity leave shortly after school starts. I was wondering if you had any ideas for the 6 weeks that I will be out.
Love this! Every time I have a sub I sit for at least two hours preparing everything. This will be such a time saver. Can't wait to get started on my sub binder!! :)
ReplyDeleteThis is brilliant, thanks so much for sharing!

ReplyDeleteThank you for this! I will be starting my first year teaching, and this is a great way to get me started on my sub binder. I didn't want to leave anything important out!

ReplyDeleteGreat binder
ReplyDeleteI really like how you organized your sub binder. Thanks for sharing! Just wondering if you're required to leave an emergency sub folder at the school office.
ReplyDeleteThanks so much for providing your sub binder in Word format. I have had a sub binder on my to-do list for ages but I keep putting it off because it seems like a huge undertaking to get everything together. Using your format as a starting point has made it loads more manageable! Thanks!

As a sub, I second the idea of listing any relevant medical situations of students. The biggest example I can think of is food allergy. My own child has a peanut allergy and that's one thing I've always wanted to have the teacher make sure the sub knows about. And I love that you list any pull out situations. It's frustrating when students are telling me that they have to go to speech, the nurse for medication, etc. and I have no clue.
ReplyDeleteExcellent. I teach high school block classes, two different preps, your sub folder is just so organized, it is so adaptable to any grade or course! So impressed. Thank you for sharing. If you had a workshop, I'd be the first in line!
ReplyDeleteOh my gosh, this is amazing! I love it and it will be very helpful in the future...If I can ever find a teachhing job!
ReplyDeletethanks
I have been looking for some ideas on how to be more helpful in leaving information and instructions for the substitute. This is organized and very helpful. I like it!
ReplyDeleteThanks
OMG! This is fabulous! I am a first year teacher. This share is priceless
ReplyDeleteThank you so much for sharing this! I feel like every year I try something new, from a sub folder to a sub tub. I like that this has a table of contents to make things easy to find. Thanks again!!!
ReplyDeleteI'm a sub and you're binder looks fantastic! I will say I always have wonderful plans left by fantastic teachers, but the one thing that almost every teacher forgets to mention is where things go when an assignment is finished. It's a huge time waster as I ask kids if they think it should be turned in, but in a certain folder, taken home or put somewhere else. It's the number one issue I have with teacher plans.
ReplyDeleteI just spent the afternoon creating my own sub binder for the start of the new year in September. Thank you SO MUCH!!!
ReplyDeletesuch a great idea!
ReplyDeleteI have en a sub for 13 years and love it. But.....there are many teachers who leave nothing like this. One of the most important parts is the students who are pulled out and where they will be going!!!! Its nice to see someone who cares so much about their kids so there is not a big change in their life when you are not there :)
ReplyDeleteThanks
As a sub, I cannot say thank you enough! I wish I could email this to everything teacher I get that leaves me confused, without enough work, and scrambling! : )
ReplyDeleteThanks so much for this post. My mom has terminal cancer, so I know I'll need sub plans sooner rather than later, and this makes it simple and covers all the things I would forget. I can't thank you enough.
ReplyDeleteThanks for sharing!
ReplyDeleteVery thorough! Thank you for sharing!
ReplyDeleteThanks for sharing this. I am certain that your subs appreciate having it laid out so nicely for them and I appreciate getting an idea of a standard school day.
ReplyDeleteDo you have an editable version of this?
ReplyDeletedont forget to add seating chart to ur sub binder...!
ReplyDeleteThanks for sharing! As a special educator I tend to have extensive plans due to describing each of my students (I teach students with mild to severe disabilities), as a suggestion: providing tips about students in your class that have disabilities would help the teacher immensely. Don't state the disability, just tips on how to handle outbursts, etc.
ReplyDeleteThis is fabulous! Thanks for sharing :)
ReplyDeleteThis is amazing! Thank you so much!!! You should be so proud!
ReplyDeleteI am a subsitute teacher & I can say firsthand how helpful these binders are. It might my job so much easier & helps the students transition better. It gives them them more routine and saves them some confusion.
ReplyDeleteI want so much to use your awesome template but for some reason I can't download it from google docs. Do you happen to have it in another format?
ReplyDeleteAwesome! Reminds me of my household binder. I love being this organized, and I know and substitute would be ecstatic to come in and see one of these. I can't wait to get mine done! Thank you for the inspiration and all your hard work. You should be very proud. :)
ReplyDeleteThanks so much! This is an awesome resource! I appreciate it!
ReplyDeleteI just made my Sub Binder based on yours and I LOVE IT!!! :-) Thank you so much for the template.
ReplyDeleteThanks!
ReplyDeleteYou are the Martha Stewart of teaching! : )
ReplyDeleteThank you for sharing... I'm home sick for the next two days... Do I wish I had this, you bet! Will I have it for next time, you bet!!
ReplyDeleteThank you for sharing this for free. Last Friday I was out and it took me 3 hours to make plans. Thanks to you, I won't be doing that again.
ReplyDeleteFANTASTIC! Thank you for being so generous and sharing this. I have been working on my own Sub Folder but yours is better detailed than mine. I have never thought about adding the emergency plans but now I will.
ReplyDeleteShirley
Although I have not been a sub for a couple of years, your sub folder is awesome. I could not believe how many times I walked into a room and had no or very little plans laid out for me and other times it was awesome. I love your ideas and I will make sure to do the same when I get my own classroom. (hopefully in the near future) Subs need all of the help they can get. Thank you for the awesome outline of what a sub folder SHOULD look like.
ReplyDeleteThanks for sharing your sub binder!! ;) I find it sooooo stressful to take days off due to getting things in order for wonderful substitutes who truly appreciate structure, organization, and clarity!
ReplyDeleteAnn Marie of Innovative Connections
Instead of describing where thing in my room are I took pics of everything and added a caption for all of them. It is easy to do and great for any sub.
ReplyDeleteAs a sub....THANK YOU!
ReplyDeleteI have subbed before and needed a binder like this. I must say, in my county, each classroom has to have a reusable shopping bag under the teachers desk. In that bag is a updated list of students names, a whistle, and a emergency booklet of all emergency procedures. The only thing i would like to see in it would be a map of the school with a color coded trail from the class room to the safety zone for that class.

ReplyDeleteI absolutely love this. Thank you soooo much for posting it!!!
ReplyDeleteThank you so much for putting this information for us! We really appreciate you!
ReplyDeleteThanks for sharing. If more teachers would do this when they aren't in a hurry, sick or worried about a parent/child it makes the day go so much better. I've been subbing for 14 years, from Pre-K -8th gr, a wide range of learning so if teachers want us to check something - please leave an answer key. I've also been in classrooms where a 4 drawer filing cabinet has each subject in it - where all you do is take out the first folder (35 copies and instructions/answer key is included) just file it in the back when done, I've been known during my break to make the copies before filing.
ReplyDeleteVery cool. Going to share with my student teacher!
